Integration with Hubspot: Technical Guide

This document provides a comprehensive, step-by-step guide to setting up the direct integration between OVOU and HubSpot CRM. By connecting your HubSpot account, you can automatically transfer leads captured on OVOU into HubSpot, streamlining your sales process and ensuring your team has up-to-date information without manual data entry.

  1. Automatic Contact Synchronization: Every new contact captured on OVOU is automatically transferred to HubSpot, ensuring real-time data updates.
  2. Intelligent Data Updating (No Duplicate Contacts)
    1. Duplicate Prevention: If a Contact with the same email address or phone number exists in HubSpot, the existing record is updated instead of creating a duplicate.
    2. Search Hierarchy: The system searches for existing records first by email, then by phone number.
  3. Custom Contact Status Assignment: During configuration, you can specify the status to assign to contacts imported from OVOU.
  4. Task History Access for Testing and Monitoring: You have full visibility over each contact transfer through the Task History feature. Access it directly from your integration page to test and monitor tasks, ensuring effective contact management.

PREREQUISITES

HubSpot Account: Ensure you have a HubSpot account set up and active.

FIELD MAPPING

The Hubspot integration offers default mapped fields and some additional fields for you to map yourself.

DEFAULT MAPPED FIELDS

The integration automatically maps the following fields from OVOU to HubSpot:
  1. First Name
  2. Last Name
  3. Email
  4. Job Title
  5. Company Name
  6. Phone Number
  7. Message
  8. Contact Owner
    1. Assigned to the team member who established the connection with the contact, if the contact owner does not have a HubSpot account, the owner field will remain empty.

ADDITIONAL MAPPABLE FIELDS

You can map these additional fields during configuration:
  1. Exchange Time (UTC)
  2. OVOU User's Profile Handle
  3. OVOU User's Full Name
  4. Team Name

INTEGRATION SETUP GUIDE

Follow these steps to configure the OVOU and HubSpot integration:
  1. Log In to Your OVOU Dashboard
    1. Navigate to the OVOU dashboard and enter your login credentials.
  2. Navigate to the Integrations Tab
    1. Once logged in, click on the Integrations tab located in the sidebar menu.
  3. Select HubSpot Integration
    1. Find the HubSpot integration option and click on the Configure button.
  4. Connect to HubSpot
    1. Click on the Connect button located at the top-right corner of the configuration page.
    2. A popup will appear, prompting you to log in to your HubSpot account. Enter your HubSpot credentials and authorize the connection.
  5. Enable the Integration
    1. After successfully connecting, navigate to the Configuration tab within the integration settings.
    2. Toggle the integration switch to "On" to activate the integration.
  6. Configure Required Fields
    1. Contact Status Assignment: Choose the desired status for contacts imported from OVOU (e.g., New, Open, or custom statuses).
  7. Optional: Map Additional Fields
    1. Map any additional OVOU fields to HubSpot fields as needed for your organization's requirements.
    2. Object Name must be set to 'Contact’. Custom mappings will not work otherwise.
    3. Ensure that the data types of the OVOU fields match the HubSpot fields to avoid synchronization errors.

IMPORTANT NOTES

  1. Future Contacts Only: The integration will transfer contacts captured after the setup is complete. Past contacts are not automatically imported.
  2. Importing Existing Contacts:
    1. To import existing contacts, export them from your OVOU dashboard
      1. Navigate to the "Contacts" tab.
      2. Use the export function to download your contacts.
    2. Import the exported contacts into HubSpot manually using Hubspot’s data import tools.

SECURITY AND PERMISSIONS

  1. HubSpot Account Permissions: The account used to log in must have HubSpot Admin permissions to ensure the integration works properly.

TROUBLESHOOTING AND SUPPORT

  1. Monitoring Task History: You can click on the "Task History" in your integration page under the HubSpot integration to monitor each task. This feature allows you to review the status of each contact transfer and identify any issues that may have occurred during synchronization.
