Integrating OVOU with Monday.com: A Technical Guide

This document provides a comprehensive, step-by-step guide to setting up the direct integration between OVOU and Monday.com. By connecting your Monday.com account, you can automatically transfer leads captured on OVOU into Monday.com, streamlining your sales process and ensuring your team has up-to-date information without manual data entry.

    • Duplicate Prevention: If a lead with the same email address or phone number exists on Monday.com, the existing record is updated instead of creating a duplicate.
    • Search Hierarchy: The system searches for existing records first by email, then by phone number.
    • Data Overwrite Options: Choose to overwrite existing information with new data or update only missing fields.
  • Task History Access for Testing and Monitoring: You have full visibility over each lead transfer through the Task History feature. Access it directly from your integration page to test and monitor tasks, ensuring effective lead management.

Prerequisites

  • Monday.com Account with API Access: Ensure you have access to your Monday.com API token, as it is required for the integration setup.

Field Mapping

The integration maps the following fields:

  • Full Name
  • Email
  • Job Title
  • Company Name 
  • Phone Number
  • Message
  • Item Owner (assigned to the team member who established the connection with the lead if it’s registered on Monday.com. if the lead owner does not have a Monday account, the owner field will remain empty.)
  • Exchange Time (UTC)
  • OVOU User's Profile Handle
  • OVOU User's Full Name
  • Team Name

Integration Setup Guide

Follow these steps to configure the OVOU and Monday.com integration:
  1. Log In to Your OVOU Dashboard
    • Access your account by navigating to the OVOU dashboard and entering your login credentials.
  2. Navigate to the Integrations Tab
    • Once logged in, click on the "Integrations" tab located in the sidebar menu.
  3. Select Monday.com Integration
    • Find the Monday.com integration option and click on the "Configure" button.
  4. Connect to Monday.com
    • Click on the "Connect" button located at the top-right corner of the configuration page.
    • You will be prompted to provide your Monday.com API token.
  5. Accessing Monday.com API Tokens
    • Log into your Monday.com account.
    • Click on your avatar/profile picture in the top right corner.
    • Select Administration > API.
    • Copy your personal API token.
      • Note: You can regenerate a new token at any time, but doing so will cause any previous tokens to expire.
  6. Enable the Integration
    • After successfully connecting, navigate to the "Configuration" tab within the integration settings.
    • Toggle the integration switch to "On" to activate the integration.
  7. Configure Required Fields
    • Data Overwrite Preferences
      • Decide whether to overwrite existing data in Monday.com with new data from OVOU.
        • Yes: Existing data will be updated with new information from OVOU.
        • No: Only new fields will be added; existing data remains unchanged.
      • Important: Lead Owner, Status, and Campaign fields are not overwritten, regardless of this setting, to prevent data conflicts.
    • Board Selection
      • Select the Board where you want the leads to be added or updated.
    • Lead Status Assignment
      • Select the column you want to map the status to
      • Select the desired status to assign to leads imported from OVOU. This could be statuses like "New," "Open," or any custom status your organization uses.
    • Column Mapping
      • Map the OVOU fields to the corresponding columns in your Monday.com board for the required fields.
      • The Board selected in the Board Selection setting must be set for all fields—mappings will not work otherwise.
  8. Optional: Map Additional Fields
    • Map any additional OVOU fields to Monday.com columns as needed for your organization's requirements.
      • Remember:
        • One Board Must Be Set for All Fields: Mappings will not work if fields are mapped across multiple boards.
        • Field Types Must Match: Ensure that the data types of the OVOU fields match the Monday.com columns to avoid synchronization errors.
          1. Email field must match an Email column on Monday.com
          2. Phone Number field must match a Phone column on Monday.com
          3. Company field must match Text column on Monday.com
          4. Job Title field must match Text column on Monday.com
          5. Lead Owner field must match a People column on Monday.com
          6. Message Field must match a Text column on Monday.com
          7. Campaign field must match a Dropdown column on Monday.com
          8. Tags field must match a Tag column on Monday.com
          9. Notes field must match a Long Text column on Monday.com
          10. Profile Handle field must match a Link column on Monday.com
          11. Team Name field must match a Text column on˜ Monday.com
          12. Profile Full Name field must match a Text column on Monday.com
          13. Exchange Time field must match a Date column on Monday.com

Important Notes

  • Future Leads Only: The integration will transfer leads captured after the setup is complete. Past leads are not automatically imported.
  • Importing Existing Leads:
    • To import existing leads, export them from your OVOU dashboard:
      • Navigate to the "Contacts" tab.
      • Use the export function to download your contacts.
    • Import the exported contacts into Monday.com manually using Monday.com's data import tools.

Security and Permissions

  • API Token Usage: The integration uses your Monday.com API token to communicate with your Monday.com account.
  • Data Access Limitations:
    • The integration has read and write access only to the Monday.com boards and columns you specify during configuration.

Troubleshooting and Support

  • Monitoring Task History:
    • You can access the Task History on your integration page under the Monday.com integration. This feature allows you to test and monitor each lead transfer, providing detailed information on task statuses and any issues encountered during synchronization.
  • Common Issues:
    • Authentication Errors: Verify that your API token is correct and has not expired.
    • Data Sync Problems:
      • Data Type Mismatch: Double-check that the data types of the fields you are mapping are compatible.
      • Multiple Boards: Remember that one board must be set for all fields; mappings across multiple boards are not supported.
